I have employees who have proper/preferred name and a legal name. I am aware that we need to have their legal names on the payroll information. However, the rest of the staff can still see their legal names in the staff list and the calendars instead of their proper/preferred name. At our university, we have a policy of showing their proper/preferred name on all our systems such as their mailing information, student accounts, student IDs, email, and class rosters.
I am very worried about possible safety issues the current system could cause for my staff. Harassment and violence is a very serious concern for people in the transgender community. The current system leaves them with few options on whether or not to disclose their identity to people who they would not otherwise trust or feel safe with.
My request is for employees to have the ability to go in their accounts and add a proper/preferred name that would be visible on all calendars and staff lists. Then the legal name could only be visible to managers during payroll. If an employee did not have any proper/preferred name different from their legal name, they wouldn't need to change anything and the legal name would be shown everywhere.
